JOB OPENING | ADMINITRATIVE ASSISTANT

CENSEO AV+Acoustics is a consulting firm specializing in design services for acoustics and noise control, audio-visual systems, theatrical systems, telecommunications systems, and electronic security systems. Established in 2012, CENSEO’s headquarters is in Kailua, Hawai’i, with additional offices in Denver & Seattle. We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to executives, engineers, and staff in a fast-paced, dynamic environment. This position works out of our Kailua Headquarters in support of diverse administrative needs throughout all three offices.

The Administrative Assistant position plays a key role in managing professional documentation, overseeing events and training sessions, coordinating staff and client engagements, and serving as the primary point of contact for external vendors and organizers. Additionally, the position includes office management, HR onboarding support, proposal material creation, and CRM database management to drive business development efforts.

KEY RESPONSIBILITIES

  • Provide comprehensive project management support to executives and engineers
  • Oversee professional documentation and confidential information with strict document management protocols and secure filing from initiation to completion
  • Manage and oversee both internal and external events and staff training by preparing agendas, distributing materials, and tracking action items
  • Organize staff meetings, “lunch-and-learns” with outside clients and vendors, events, and occasionally site visits
  • POC with outside organizers, sales representatives, event organizers, coworking spaces, and limited client information requests
  • Lead charge of expos, events, and company retreats – supplying and organizing all itineraries, gift baskets, decorations, graphic designs, and event necessities
  • Support staff by formatting documents that align with the CENSEO brand
  • Office management including but not limited to ordering office supplies, POC for IT & cleaning vendor, phone systems, etc.
  • Pick up mail and deposits check payments when needed
  • Arrange travel and accommodation for the CEO and employees
  • Assist HR with employee onboarding
  • Create and maintain proposal response materials such as resumes, project descriptions, presentations, boards, leave behinds, etc.
  • Track and leverages CRM / marketing database (Unanet, formerly Cosential) to drive business development efforts

IDEAL CANDIDATE

  • Minimum three years of extensive clerical/administrative experience in a fast-paced operation
  • Associates degree or technical degree . Will consider experience in lieu of education.
  • Experience in the architectural design services and/or construction industry a plus
  • Ability to clearly and effectively convey technical information through written, verbal, and visual means
  • Proficiency with Microsoft Office – Outlook, Excel, Word, OneDrive etc.
  • Team collaboration skills with a commitment to fostering a positive and successful team dynamic.
  • Experience collaborating with subject matter experts to support the creation of persuasive, compliant, and client-focused technical content.
  • Ability to multi-task, communicate, and stay organized to achieve deadlines on multiple tasks at a time.
  • Strong interpersonal skills: ability to work well with people at all levels.
  • Self-starter, ability to meet deadlines and deliverables without constant or direct supervision.
